Benson Hunt Technologies (“we”, “us”, “our”) is a Canadian managed IT services provider. We take your privacy seriously. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and other Canadian privacy laws that apply to us. This page explains, in plain words, what personal information we collect, why we collect it, who we share it with and how we protect it.

1. What is personal information?
Personal information is any information about an identifiable person. For us, that usually means:
- Contact details, like a name, business email, business phone and job title
- Details about your staff that we need for IT support, onboarding, tickets or access management
- Login details, access logs, IP addresses and device identifiers, when they can be tied to a person
- Anything else that could identify a person
Most of what we handle is business contact information for people at our clients. We protect all personal information to the same standard.
2. Why we collect it
We only collect personal information for reasonable and necessary purposes, such as:

- Providing and managing our IT services, like monitoring, help desk, cybersecurity, cloud management, and buying and setting up hardware and software
- Talking with you and your team about quotes, service updates, incidents and scheduling
- Handling contracts, billing and payments
- Answering questions, support requests and service problems
- Improving our services, training our staff and checking quality, for example by reviewing support tickets
- Following the law, spotting and preventing fraud or security incidents, and protecting our rights and safety
- Other purposes we tell you about when we collect the information, with your consent where it is required
We limit what we collect to what we need for these purposes.
3. How we collect it
- Directly from you or your employer, for example in onboarding, support tickets, contracts, emails and calls
- Automatically through our IT tools, such as remote monitoring agents, logs and access records, usually with our client’s agreement
- From third parties, such as software vendors, subcontractors we hire under strict agreements, or referrals
4. Consent
We ask for your meaningful consent before we collect, use or share personal information. Consent should be informed and voluntary, and we document it where that makes sense. There are a few exceptions:
- Consent is implied, for example when you give us your contact details so we can send service messages
- It is needed for a contract that you or your employer has with us
- It is for a purpose a reasonable person would consider appropriate
- The law requires or allows it
You can withdraw your consent at any time by contacting our Privacy Officer. Legal or contract limits and reasonable notice may apply. Withdrawing consent may mean we cannot provide some services.
6. How long we keep it
We keep personal information only as long as we need it for the reasons we collected it, or as long as the law or a contract requires, for example for audits, warranties or disputes. After that, we securely destroy, delete or anonymize it.
7. How we protect it
We use reasonable physical, technical and administrative safeguards that match how sensitive the information is. Examples include encryption, access controls, secure data centres, staff training and confidentiality agreements. We work hard to protect your information, but no system is completely secure.
8. Your rights and how to reach us
You have the right to:
- See the personal information we hold about you, subject to the exceptions in PIPEDA
- Ask us to correct information that is wrong or incomplete
- Ask questions about our privacy practices or make a complaint

We will reply within 30 days, or as the law allows. Where the law permits, we may charge a small fee for access requests. If you are not happy with our answer, you can also contact the Office of the Privacy Commissioner of Canada.
9. Information that leaves Canada
Some of our service providers or tools may be outside Canada, for example U.S.-based cloud providers. If so, your information may be processed or stored in another country and may be subject to that country’s laws, including access by its authorities. We use contracts and other safeguards to give you comparable protection.
10. Changes to this policy
We may update this policy when our practices or legal requirements change. The “last updated” date at the top will show when. For big changes, we will email affected clients or post a notice on our website or client portal. If you keep using our services after a change, that means you accept the updated policy.
